Ten employees, four company cars and one key box: double bookings, cars reserved but never used, and nobody sure who drove on Thursday. CT Mobility is a vehicle booking system for employees in the UAE. Staff see which cars are free, book within your rules, pass a selfie check, unlock the car by phone and return it with photos. Planning the shared-car programme itself? Start with pool car management.
In many offices in Dubai, Abu Dhabi and Sharjah, the company car booking system is still a shared calendar, a spreadsheet or a message to the office admin. This works while the fleet is quiet. When it gets busy, the same problems repeat:
A booking system for employees deals with these problems at the moment of booking, not weeks later.
Rules replace the admin who used to decide who gets which car. You set permissions by employee, department, vehicle, day and time, and each person sees only what they may book. Typical set-ups:
You can add monthly limits per employee or department and use zones with geofencing. If several companies or business units share one fleet, corporate accounts, limits and billing run through the B2B portal.
Instead of a manager approving each request by email, approval happens when the employee joins. Your fleet admin reviews the employee’s ID and driving licence, either manually in the dashboard or through automated verification, and then grants booking permissions. From that point, every booking is checked against those permissions, and the digital key is given only to verified employees and only for the booked time.
This check matters in the UAE. Under Federal Decree-Law No. 14 of 2024 on traffic, in force since 29 March 2025, a vehicle impounded because an unlicensed person drove it is released only to the owner or an authorised representative. A booking system that gives access only to verified employees reduces this risk for the company.
A booked car that nobody takes is worse than an idle car, because it blocks a colleague. The booking system makes no-shows visible and limits their effect:
Most companies also add a line to their vehicle policy: if plans change, the booking should be released at once so that a colleague can use the car. You can start from our company vehicle policy template.
When the car is returned, the record for that booking is complete: the employee who booked it, start and end time, route and mileage, trip duration, fuel level, condition photos before and after the trip, reported damage and driver comments. Reports can be exported.
This record is what you need when a fine or a toll reaches the company weeks later. A Salik crossing (AED 6.30 at peak hours since 5% VAT was added on 1 June 2026) or a traffic fine has a time and a place. Matched with the booking, it points to one verified employee, and your HR or fleet team can follow the company policy, for example by starting a black-point transfer. The process differs by emirate. For the full workflow, see fines and Salik management for company cars.
This is general information, not legal advice. Check the current rules with the relevant authority.
Booking data shows what tracking alone cannot: how often each car is booked, how far it is driven and when employees cannot find a free vehicle. Utilisation reports by vehicle and by employee show which cars can leave the pool and where one more car would save time. Shared access usually lets the same team work with fewer vehicles. A pilot shows what this means for your fleet, with your own data.
This page is about the booking itself: how employees reserve, unlock and return company cars. If you are still deciding whether to move from assigned cars to a shared pool, how many vehicles you need and who should use them, read about pool car management and corporate car sharing. If your main goal is to stop handing out keys, compare a key cabinet with a phone key and read about keyless car access. All software features are described on the corporate car sharing software page.

It is software that lets staff reserve a company vehicle for a time slot, within rules set by the company. In CT Mobility the same app also verifies the driver, unlocks the car by phone and records the trip, so the booking, the access and the trip record are in one place.
Yes. Permissions are set by employee, department, vehicle, day and time, with optional monthly limits. Each employee sees only the vehicles and times they may book.
Employees are approved after ID and driving licence verification. Before each trip they pass a selfie liveness check, and the digital key works only for their own booking.
The digital key cannot be used outside the booked time, and the booking history shows bookings that were never started. Fleet admins can review them per employee and adjust rules or limits.
No. Cars are unlocked by phone through telematics or Bluetooth, so access also works in underground car parks. A telematics unit is installed in each vehicle.
AED 50 per vehicle per month, with tracking included. A pilot for up to 2 vehicles with no subscription fee for 3 months is available; only the hardware, installation and mobile data are paid.
