Car Key Register Template for Company Vehicles (Excel and PDF)

In many UAE offices the company car keys hang in a cabinet at reception and are signed out in a notebook, when someone remembers. This free car key register turns that notebook into a proper key log: every key signed out to one named employee with a due-back time, an overdue flag, an inventory that shows who holds each key right now, an end-of-day count and a lost-key report. Download the Excel file with formulas or the printable PDF.

What the car key register records

  • Key sign-out log: date and time out, key tag number, vehicle and plate, key type, the employee who takes it, purpose or booking reference, due-back time, who issued it, date and time in, who received it and the condition.
  • Key inventory: one row per key, main and spare keys separately, with the hook or location and where the spare is kept.
  • End-of-day key count: keys in the inventory, keys on hooks, keys signed out and any key that is missing.
  • Lost or damaged key report: what happened, the last holder, the action taken and the cost.

How the Excel key log works

Pick the key tag from a drop-down list and the vehicle and plate are filled in. The status of each line is calculated: Out, OVERDUE once the due-back time has passed, or Returned. The inventory sheet shows every key that is out, who has it and since when, and counts the keys out, overdue and lost at the top. A key with an open lost-key report shows as Lost until the report is closed. No macros; example rows show how it works.

A simple key control procedure for company vehicles

  1. Tag every key with a number, not the plate, and keep spare keys in a separate locked place.
  2. Issue keys only against a booking or an approved vehicle request form.
  3. One key, one named employee. Keys are never passed to a colleague: they come back and are signed out again.
  4. Check the tag against the plate before handing the key over.
  5. Set a due-back time and chase overdue keys the same day.
  6. Count the keys at the end of the day: every key is either on its hook or signed out.
  7. Report a lost key at once. The fleet office decides whether a spare is used, a new key is made or the lock or immobiliser must be reprogrammed.

Pool cars, assigned cars and spare keys

The register works a little differently for each kind of key:

  • Pool cars: one line per use. The key goes out against a booking and comes back the same day; the due-back time is the end of the booking.
  • Assigned cars: one line when the car is handed to the employee, with no due-back time, and one line when it comes back. Record the condition of the car on the vehicle handover form at both moments.
  • Spare keys: a separate row in the inventory, kept in a different locked place. A spare key that leaves the safe is signed out like any other key.
  • Smart keys, fobs and key cards: give them a tag number too. They are costly to replace, so a missing one should be reported the same day.

When an employee leaves the company, check the register for any key still signed out to that person before the final settlement.

What a key register cannot tell you

A key register records who took the key, not who drove the car. A colleague may drive while the key is signed out to someone else, a key may be copied, and the register says nothing about where the car went or how many kilometres it did. In the UAE, traffic fines are issued to the registered owner of the vehicle, which for a company car is the company, and they often arrive weeks later. To match them, you need trip times and the driver: that is what a vehicle log book adds.

With CT Mobility the key disappears from the daily routine. Employees book a company car in your branded app, pass a selfie liveness check and unlock the car with the phone, so there is no key to hand over, chase or lose. Booking rules decide who may use which vehicle, on which days and at what times, and every trip is recorded with the driver, time, route and mileage.

Tracking is included and the driver is known on every trip, for AED 50 per vehicle per month, and you can start with a pilot for up to 2 vehicles with no subscription fee for 3 months; only the hardware, installation and mobile data are paid. Frequently asked questions

Is the car key register template free?

Yes. The Excel and PDF files are free to download and use, and you do not need to sign up.

What is a key register?

A key register, or key log, records every time a key leaves and returns: which key, which vehicle, who took it, when it is due back and when it came back.

How often should we count the car keys?

At the end of every working day. Every key in the inventory should be either on its hook or signed out in the register; anything else is chased the same day.

What should we do when a car key is lost?

Record it in the lost-key report at once, use the spare key if needed and let the fleet office decide whether the lock or immobiliser must be reprogrammed.

Does a key register show who drove the car?

No. It shows who took the key. To know who drove and when, keep a vehicle log book or use trip records with the verified driver.

Can we stop using car keys altogether?

With CT Mobility, employees unlock company cars by phone after a selfie check, so day-to-day key handovers are no longer needed. You can test it in a pilot for up to 2 vehicles with no subscription fee for 3 months; only the hardware, installation and mobile data are paid.
