Vehicle Log Book Template for UAE Company Cars (Excel, PDF, Word)

A vehicle log book answers the questions that come up every month in a UAE fleet: who had the car, where it went, how many kilometres it did and who was driving when a Salik gate, a Darb gate or a camera recorded it. This free vehicle log book template is built for the UAE: plate code and emirate, Salik tag and Darb registration, trip purpose, start and end odometer, the driver of every trip, fuel, and the fines and tolls that arrive weeks later. Download the Excel file with formulas, or print the PDF or Word version.

Download the vehicle log book

All files are free and you do not need to sign up. The Excel file does the sums for you; the PDF and Word versions are for a paper log that stays in the car. Add your logo and change any column you like.

For Arabic-speaking teams there is a full Arabic Excel version, right to left, with extra sheets for maintenance: download the Arabic vehicle movement register or read about it on the Arabic page.

What the UAE vehicle log book records

  • The vehicle, identified the UAE way: make and model, plate emirate, plate code and number, Salik tag number, whether the car is registered in the company Darb account, fuel card number and Mulkiya (registration) expiry.
  • Every trip: date, time out and time in, from and to, and the purpose (client visit, site visit, delivery, airport, maintenance, office errand or approved private use).
  • Mileage: odometer at the start and at the end of each trip; the kilometres are calculated.
  • The driver: name, employee ID and department for every single trip, not just the person the car is assigned to.
  • Tolls and parking: the number of Salik and Darb gates passed and the parking paid on the trip.
  • Fuel: date, litres, AED, odometer and receipt or fuel card reference for each refuel.
  • Fines and tolls that arrive later: the date and time on the notice, the amount and the driver who had the car at that moment.

How the Excel vehicle log book works

The Excel file has eight sheets and needs no macros. Drop-down lists keep the data clean, and the grey columns are formulas.

  • Trip log: one row per trip. Kilometres are calculated, and a gap check compares the start odometer with the end of the previous trip of the same car. A gap means kilometres that nobody logged.
  • Fuel: one row per refuel, with the price per litre calculated, so a wrong receipt stands out.
  • Fines & tolls: enter a Salik, Darb, parking charge or traffic fine with the date and time on the notice. The workbook finds the trip that covers that moment and shows the driver. If no trip was logged, it says so.
  • Monthly summary: pick the year and month to see, for each vehicle, trips, km, unlogged km, fuel, L/100 km, Salik, Darb, parking, fines and cost per km, and for each driver, trips, km and fines.
  • Vehicles and Drivers: the lists behind the drop-downs. Mulkiya, insurance and licence dates turn amber 30 days before expiry and red after it.

A few example rows show how the formulas work; delete them before you start.

Vehicle movement register, mileage log and fuel log in one file

Companies call this record by different names: vehicle movement register, trip log sheet, mileage log, driver log book or vehicle log sheet. The content is the same, so one file covers all of them. The printable version follows the same logic: page 1 is the trip log for one vehicle and one month; page 2 holds the fuel and expenses log, the fines and tolls received for that vehicle, and a monthly check for the fleet coordinator, who compares the odometer distance with the sum of the trips.

How to keep a vehicle log book, step by step

  1. Fill in the vehicle once: plate, Salik tag, Darb status, fuel card and the odometer at the start of the month.
  2. Write the start of the trip before leaving: date, driver, purpose, destination, time out and odometer.
  3. Close the line at return: time in, odometer, Salik and Darb gates and any parking paid.
  4. Log every refuel with litres, amount and odometer, and keep the receipt.
  5. When a fine or toll arrives, find the trip whose time window covers the time on the notice and inform that driver.
  6. Close the month: check that the odometer distance equals the sum of the trips, review fuel use per 100 km, and sign the monthly check.

Why UAE companies keep a vehicle log

In the UAE, traffic fines are issued to the registered owner of the vehicle, and for a company car that is the company. Black points can be transferred to the actual driver through the official channel of each emirate, for example TAMM in Abu Dhabi or the MOI app in the northern emirates, but only when the company can show who was driving. Speed matters as well: Abu Dhabi and Sharjah give a 35% discount on many fines paid within 60 days.

Tolls add up in the same way. Salik in Dubai has 10 gates and charges AED 6 at peak times and AED 4 off-peak, plus 5% VAT since 1 June 2026 (AED 6.30 and AED 4.20). Darb in Abu Dhabi charges AED 4 per crossing from 7 to 9am and from 3 to 7pm, Monday to Saturday, and the Ghantoot and Al Qurm gates have charged 24/7 since May 2026. Fuel is not cheap either: Special 95 costs AED 4.28 per litre in October 2026, up from AED 3.69 in September. A log that shows unlogged kilometres and fuel per 100 km is how you notice private trips and fuel misuse early.

Paper log book or automatic trip log

A log book works when drivers fill it in every time. In practice lines are written at the end of the week, odometer readings are rounded and the driver who borrowed the car for an hour is missing.

CT Mobility produces this log automatically

With CT Mobility, the vehicle log book fills itself, trip by trip and driver by driver. The employee books a company car in your branded app, passes a selfie liveness check and unlocks the car with the phone. The platform records every trip with the driver, the time, the route and the mileage, together with the fuel level, and reports can be exported. Alerts for harsh driving, towing, suspected theft, low fuel and maintenance come on top.

Tracking is included and the driver is known on every trip, for AED 50 per vehicle per month, and you can start with a pilot for up to 2 vehicles with no subscription fee for 3 months; only the hardware, installation and mobile data are paid. See pool car management, the vehicle booking system for employees, vehicle tracking with the driver on every trip and fuel monitoring. More free templates: the daily vehicle inspection checklist, the vehicle request form, the car key register and the vehicle handover form.

Pilot for UAE companies: we connect up to 2 of your vehicles with no subscription fee for 3 months, so you can judge the results on your own operations before any commitment. Only the hardware, installation and mobile data are paid. Go live in about 15 days.

Frequently asked questions

Is the vehicle log book template free?

Yes. The Excel, PDF and Word files are free to download and use, and you do not need to sign up. You can add your logo and change the columns.

What is the difference between a vehicle log book and a vehicle movement register?

None in practice. Both record each trip of a vehicle with the date, driver, purpose, times and odometer. Some companies also call it a trip log sheet or mileage log.

How do I find who was driving when a fine or a Salik charge arrives?

Enter the date and time on the notice and the vehicle in the Fines & tolls sheet. The workbook finds the trip whose time out and time in cover that moment and shows the driver. On paper, use section D of the PDF in the same way.

Is a vehicle log book required by law in the UAE?

This template is an internal company record for costs, fines and tolls. Some regulated activities have their own rules: in Abu Dhabi, for example, freight and passenger transport permits require a tracking device from the approved list. Check the rules that apply to your activity.

Is there an Arabic version?

Yes. The Arabic Excel version is a full vehicle movement register, right to left, with sheets for trips, fuel, maintenance, fines and tolls, a monthly summary and lists of vehicles and drivers.

Can CT Mobility fill in the log automatically?

Yes. The platform records every trip with the verified driver, time, route and mileage, and reports can be exported. You can test it in a pilot for up to 2 vehicles with no subscription fee for 3 months; only the hardware, installation and mobile data are paid.
