Motor Pool Management Software: Reserve, Unlock and Track Pool Cars

A motor pool works when everyone can find a free car and the organisation knows who had it. CT Mobility replaces the key box, the reservation spreadsheet and the paper trip log with one platform: employees reserve a pool car in an app, pass a selfie check, photograph the car and unlock it by phone, and every trip is recorded with the driver, time, route, mileage and fuel level.

Short answer: Motor pool management software lets an organisation share a pool of vehicles between employees: staff reserve a car in an app, pick it up with a phone key, and every trip is recorded with the driver, time, mileage and condition photos. CT Mobility does this for companies and other organisations that share cars between departments, from AED 50 per vehicle per month with tracking included; minimum AED 500 per month, hardware billed separately.

What is a motor pool?

A motor pool is a group of vehicles that an organisation owns or leases and shares between its employees for work trips, instead of assigning each car to one person. Government agencies, municipalities, universities, hospitals, utilities and large companies run motor pools; in companies they are usually called pool cars or a shared fleet, and in Europe often corporate car sharing. It is not the same as a carpool, where colleagues ride together to work.

What motor pool management software does

  • Reservations: employees see the cars they may use and reserve one for the time they need.
  • Check-out and check-in: a phone key replaces the key handover for connected cars; photos record the condition at pick-up and return.
  • Trip log: driver, start and end time, route, mileage and fuel level are recorded automatically for every trip.
  • Rules: who may book which vehicle, on which days and hours, with optional monthly limits.
  • Tracking and alerts: live map, zones, towing or theft, low fuel and maintenance due.
  • Reports: statistics on trips, vehicles and utilisation, and exports for finance and HR.

How a motor pool trip works in CT Mobility

  1. Reserve: the employee opens your branded app, picks an available car and books the time slot.
  2. Verify: a selfie liveness check and an alertness check run before the trip starts.
  3. Inspect and unlock: the employee photographs the car, reports existing damage and unlocks it by phone; the digital key works only for the booked time.
  4. Drive: the trip is recorded with route, mileage and fuel level.
  5. Return: photos again, the car is locked and the reservation closes.

Key control without a key cabinet

Many motor pools still run on a key cabinet or a key box at reception. A cabinet stores and logs physical keys; a phone key removes the daily key handover for connected cars, and the cabinet stays only for spare keys and cars without telematics. Compare both on our page about key cabinets and phone keys, or start with a free car key register template.

Rules for departments and teams

Administrators decide which employees may book and set the rules once: by employee, department, vehicle, day and time, with optional monthly limits. Technicians see only vans, office staff only city cars, and a department’s cars stay with that department unless you share them. Every reservation is checked against those rules.

Right-sizing the motor pool with trip data

The most common question about a motor pool is how many cars it really needs. Trip history and utilisation statistics show which cars are driven and which only stand in the car park, by vehicle and by period, and the data can be exported. Read how to measure fleet utilization from trip data before you add or remove cars.

Government, municipal and campus motor pools

Public bodies and campuses share cars between departments that rarely see each other’s bookings. A shared platform gives each department its own rules while the fleet manager sees all vehicles, and the trip log answers the questions that come with public money: who drove, where, for how long and for which department. Traffic fines are traced through the trip history: take the plate and time from the fine and find the trip.

Public-sector buyers usually have their own procurement, security and data requirements. Send them to us with your vehicle list and we answer them in writing.

From paper forms to software

Paper works for a few cars: a vehicle request form, a vehicle log book and a company vehicle policy. Software becomes worth it when several teams share the cars, keys go missing, or fines and damage cannot be traced to a person.

Motor pool, pool cars or corporate car sharing?

The words differ by country, the job is the same. For companies in the UAE see pool car management in the UAE, with local details on Salik, Darb and fines. For the product itself see corporate car sharing software, and for the booking flow the vehicle booking system for employees.

Limitations: what to check before you start

  • A telematics unit in every car. Phone keys and tracking need a compatible unit in each vehicle; we confirm each make, model and year before the quote.
  • Keyless start depends on the car. Unlocking by phone works on connected cars; how the engine is started depends on the model.
  • Coverage. The phone key needs a connection to the car; check underground car parks during the pilot.
  • Licences stay your process. Checking that each driver holds a valid licence is part of your own onboarding.
  • A smartphone for every driver. Employees reserve, inspect and unlock in the app.

Frequently asked questions

What is a motor pool?

A group of vehicles that an organisation owns or leases and shares between employees for work trips, instead of assigning each car to one person.

What is motor pool management?

Running the shared vehicles: who may reserve which car and when, how keys are handed over, how each trip, fuel use, damage and fine is recorded, and how many cars the pool needs.

What does motor pool management software do?

It handles reservations, check-out and check-in, the trip log, access rules, tracking, alerts and reports in one platform, so the motor pool runs without a key box and a spreadsheet.

Do employees still need to collect keys?

Not for connected cars: the employee unlocks the reserved car by phone for the booked time. A key cabinet can stay for spare keys and cars without telematics.

How do we know how many pool cars we need?

Use trip history and utilisation statistics: cars that are rarely driven over several months are candidates to remove, and cars that are always booked show where the pool is too small.

Does it keep a trip log?

Yes. Every trip is recorded automatically with the driver, start and end time, route, mileage and fuel level, and can be exported.

Can we use our existing vehicles?

Yes. A telematics unit is installed in your existing vehicles after we confirm compatibility for each model.

Is it suitable for government and municipal motor pools?

The platform is built for organisations that share vehicles between departments. Public-sector buyers usually have procurement, security and data requirements; send them to us and we answer them in writing.

How much does motor pool software cost?

AED 50 per vehicle per month with tracking included, minimum AED 500 per month. Hardware and installation are billed separately.
